Information collected via third-party booking: Name, email address, and company information collected by Calendly when you book a discovery call via our booking link. This information is collected and stored by Calendly directly — see Calendly's privacy policy at calendly.com/privacy for details of how they handle your data.

Information you provide directly: Any information you share during a discovery call, audit process, or email correspondence with us.

Information collected automatically: Website usage data including pages visited, time on site, and browser type via Framer's built-in analytics. IP address and approximate location.

Information collected as part of service delivery (for clients only): Names and email addresses of team members added to ceremony invites. Meeting transcript data received via Google Meet, Microsoft Teams, or Zoom auto-transcription. Jira project data accessed via API for the purpose of delivering our service. Slack usernames referenced in automated messages.

We use your personal data for the following purposes:

Responding to enquiries and following up on booked discovery calls — Legitimate interests

Delivering our AI-powered delivery service to clients — Performance of a contract

Processing meeting transcripts to update project management tools — Performance of a contract

4. Meeting Transcripts and AI Processing

As part of our service, our bot email address is added as an invitee to client team ceremonies. When meeting organisers enable transcription on Google Meet, Microsoft Teams, or Zoom, the auto-generated transcript is sent to all invitees including our bot address. This transcript is then processed using AI (Anthropic Claude API) to extract backlog updates and action items.

By adding our bot email address to a ceremony invite, the meeting organiser confirms that all attendees have been informed that transcript processing is in place. The bot's email address is visible to all attendees in the invite list.

Transcript data is processed solely for the purpose of updating the client's project management tools. Transcripts are not stored beyond the processing window required to complete the update.

5. Tools and Third Parties We Use

To deliver our service we use the following third-party tools which may process personal data on our behalf:

Anthropic (Claude API) — AI processing of delivery data and transcripts. Data processed in the USA. Subject to standard contractual clauses.

Make.com — Automation workflows connecting Jira, Slack, Google Workspace, and Claude. Data processed in the EU.

Google Workspace — Email, calendar, and document services. Data processed in the EU and USA.

Atlassian (Jira) — Project management data accessed via API. Data processed per client's own Jira instance location.

Framer — Website hosting and analytics. Data processed in the USA.

Calendly — Booking and scheduling. Data collected and processed directly by Calendly. See calendly.com/privacy.

All third-party processors are required to process data only on our instructions and in accordance with applicable data protection law.

6. Data Retention

We retain personal data for the following periods:

Enquiry and correspondence data: 12 months from last contact

Client service data including Jira data, sprint reports, and KPI records: Duration of the client engagement plus 12 months

Meeting transcript data: Deleted after processing is complete, typically within 24 hours

Website analytics data: As per Framer's standard retention policy
